Studio Policy

OVERVIEW
​​
1. By enrolling in classes with Bright Minds Music you agree to the following Studio Policy, current as at February 2025. Please read it carefully and contact us if you have any questions.
2. We may amend this Studio Policy from time to time. The new version will be effective immediately upon posting on our website. If applicable, these changes will be communicated to you by email. If you enrol after the new Studio Policy has come into effect you will indicate your agreement to be bound by it when you enrol.

STUDIO CALENDAR
3. Classes are conducted during the School Term according to the Victorian School Calendar. There are no classes on school holidays, public holidays or long weekends (including the Monday before Cup Day) unless via special arrangement.
4. We will notify you of our teaching dates in advance of each Term. Our current class times and days are set out at www.brightmindsmusic.com.au/ourclasses.

INTAKES
​
5. We run a linear curriculum, and have set intakes throughout the year. Students may join up to five (5) weeks after the commencement of a group intake, however students will require one thirty (30) minute private lesson per missed lesson. (For example, if joining in week 3 of an intake, the student will require two (2) thirty (30) minute private lessons to catch up with the class). Private lessons will be arranged at a mutually convenient time. In the event that you miss an intake, you may join our waiting list for the next intake..

PAYMENT
6. Tuition is provided on a Term basis. Fees are payable in advance of the Term on the due date. Payment of your invoice guarantees your child's place in the studio and covers the costs of classes and enrolment. Students will be unable to participate in classes until their invoice is paid.
7. Tuition fees cover the class time and preparation, as well as ongoing business costs including printing, scanning, copying, insurance, professional organisation memberships, venue hire, curriculum licence fees, teacher training and experience and administration.
8. In addition to tuition, you will be charged for books, any private lesson fees (if joining an intake late) and optional events (such as performances and exams).
9. Tuition fees quoted on our website are correct as at February 2025, and are subject to annual review. You will be notified in advance of any fee changes.

STUDENT/PARENT RESPONSIBILITIES
10. Students are responsible for arriving to class on-time, with correct books and home activities completed. Parents/carers will be instrumental in helping students devise a practice schedule, and checking to make sure home activities are completed.
11. We support your child in their home practice by sending home an activity sheet each week (ages 5+) and providing an online Practice Buddy with backing tracks and video demonstrations to play along to.
12. A well-tuned instrument is needed for consistent daily practice (ages 5+). Weighted keys and a full-sized 88 keys are desirable.

PARENT/CARER ATTENDANCE
13. Parent/carer attendance is required for all classes.
14. Parent/carer participation is required for all Jungle Music, Music is Fun and Junior Keys classes.
15. Parents/carers of Piano Keys students are welcome to participate, watch, or wait in the waiting area.
16. We find that having a learning partner in the class, and at home, contributes to better outcomes with student practice, progress and confidence in the long-run.

SIBLINGS
17. Classes are age-specific. We are unable to enrol siblings in the same class unless they fall within the required age-range for that class.
18. Sibling attendance in class is discouraged. However, if there is a need, siblings may sit with a quiet activity. The attending parent/carer is responsible for the sibling and the student at all times. If the sibling needs attention that requires the parent/carer to leave the class, the student must go with the parent/carer as well, and must not be left with the teacher.

STUDIO ETIQUETTE
19. Food and drink (other than water bottles with a sports cap) are not permitted in the studio.
20. Please encourage your child to drink water and use the bathroom before class.
21. We kindly ask that you refrain from using your mobile phone during class unless for emergency.
22. Students who are running late must enter the studio quietly, and promptly join the class. Class will finish at the scheduled time regardless of latecomers.
23. Please let us know if you will need to leave class early for any reason.
24. Please keep chatter, noise or disturbance to a minimum during class.

STUDENT ABSENCE
25. Please notify us in advance (by text or email) if your child will miss their scheduled class.
26. If we are running an equivalent class later in the week which has a space available, we will invite your child to attend that class. Please note we cannot guarantee that a later class will be running or that there will be a space in that later class.
27. For missed classes, parents will receive a home activity sheet (ages 5+) and will have access to the Practice Buddy tracks and/or videos to keep up.
28. Payment of tuition fees guarantees the student's place in the class and covers the costs of reserving that place. Overheads are payable regardless of whether a student attends their class or not. Unfortunately, we are unable to offer make-ups, credits or refunds when a student misses a class.
29. We will only make an exception for prolonged illness (causing a student to miss three (3) or more consecutive classes) or for extenuating circumstances, on a case-by-case basis.

TEACHER CANCELLATION
30. In the event the teacher is sick or otherwise needs to cancel the class (for reasons other than those stated below), we will provide as much notice as possible. Unless the class is able to be rescheduled, we will offer you a credit for the cancelled class to be deducted from your next invoice. If you decide to terminate your enrolment before the credit has been issued, we will refund the credit to you.
31. If insufficient children are booked into your class, we reserve the right to cancel the class. In this instance, we will offer you either an alternative class (if one is available) or a refund will be given for any remaining sessions after the cancellation.
32. In the event that the studio must close for public health and safety reasons or inclement weather, students may still continue learning through their home activity sheets (ages 5+), Practice Buddy and/or such other assignments as set by the teacher. No make-ups, credits or refunds will be issued.

PERFORMANCES
33. Students are regularly given the opportunity to perform for their peers in our class concerts which happen throughout the Term. This is a lovely informal way for students to showcase what they have learnt. Additional concerts will be organised on a case-by-case basis.

EXAMS
34. Junior Keys and Piano Keys students may choose to participate in Bronze and Silver Level Foundation Exams with the Foundation of Music Education. Exams are optional, and at least one year of learning is required to participate.

AGE ALLOCATION
35. Our classes are designed with a child's physical, social, cognitive and emotional development in mind. Moving children into classes before a certain age could be challenging for them and detrimental to their progress. We have therefore applied a minimum and maximum age to each level, which is based around these considerations and must be adhered to (please see www.brightmindsmusic.com.au/ourclasses).

PHOTOGRAPHS/VIDEO
36. From time to time, we may take photographs/videos of our classes and use these in marketing materials and/or our social media pages. By enrolling in our classes, you grant Bright Minds Music permission to use photographs/videos of your child for this purpose. If you do not wish your child's photos/videos to be used by us, please let us know specifically in writing.
37. We kindly ask parents/carers to refrain from taking photos/videos in the studio except for class concerts or solo performances in which case we ask that you please only photograph your child/ren and do not take photographs/videos of other people.

TERMINATING ENROLMENT
38. Please give at least six (6) weeks' notice (Term time) if you wish to terminate your enrolment to avoid being invoiced for the next Term. This allows time to adjust our schedule if needed, to tailor the curriculum and to allow anyone on the waiting list to take up a space in a full class.
39. Provided the correct notice has been given, students will continue to receive the classes they've paid for until the conclusion of the Term, at which point termination will take effect. Refunds will not be issued.
40. Bright Minds Music reserves the right to dismiss a student from the studio if any of the following situations persist after notification (by phone or email) and after reasonable time has been provided to correct the problem: (i) inadequate practice time or goals not met on a consistent basis; (ii) lack of interest/uncooperative attitude during class; (iii) excessive absences not cause by prolonged illness or extenuating circumstances; (iv) failure to pay tuition.

COMMUNICATION
41. Communication with parents is extremely important to us. Please contact us with any issues/concerns you may have. We are always happy to talk about your child's progress and offer practice tips and advice. Sometimes we are not able to talk immediately following a class, as we need to get ready for the next class, however we are happy to discuss at another mutually convenient time.

INTELLECTUAL PROPERTY
42. Parents/carers agree to keep the content of our courses confidential and not to copy or use any aspect of our courses directly or indirectly.

PRIVACY
​
43. To enrol in our classes, you will need to provide us with your email address, name, child's name, child's date-of-birth, your phone number and additional details as set out on our enrolment form.
​
44. You agree that all the information you have provided to Bright Minds Music is accurate and truthful.
​
45. You will inform Bright Minds Music of any changes to your child/ren's important contact details or other information relating to their enrolment.
​
46. You consent to Bright Minds Music using information you have provided for (i) enrolling your child/ren into Bright Minds Music's classes; (ii) communicating about the details and/or changes associated with your child/ren's enrolment; (iii) contacting you regarding any aspect of your child/ren's participation in Bright Minds Music's classes; and/or (iv) any other purpose that is related to Bright Minds Music's services.

47. We upload the information that you provide to a portal, managed by My Music Staff. If you would like to view the privacy policy of My Music Staff or Stripe (our payment processor), please contact us.

HEALTH & SAFETY
​
48. You acknowledge and agree that your child shall be deemed to be under the direction, care and control of the attending parent/carer throughout the course and the attending parent/carer shall be responsible for the welfare and conduct of the child throughout the course and whilst the child is at the studio.
​
49. Please do not have your child attend class if they are sick or have flu-like symptoms or symptoms of.Covid-19.
​
50. Students must wash or sanitise hands before class.
​
51. You are responsible for communicating any relevant medical condition/s that may impact your child's health and wellbeing throughout our classes.
​
52. Bright Minds Music cannot provide children with any medical or like treatment.
​
53. You accept that at times there will be physical contact between teacher and student, and/or between learning partner and student. Where contact is needed, we will say why, and how, and this will always be carried out in a professional and caring manner.​
​
54. You will make good any wilful damage to Bright Minds Music's property or equipment caused by your child/ren, other than fair wear and tear.
