Studio Policy

OVERVIEW

 

1. By enrolling in classes with Bright Minds Music, you agree to the following Studio Policy, current as at May 2026. Please read it carefully and contact us if you have any questions.

 

2. Bright Minds Music reserves the right to amend this Studio Policy from time to time. Updated versions will take effect immediately upon publication on our website and, where appropriate, will also be communicated by email.

STUDIO CALENDAR & ENROLMENT

 

3. Classes operate during Victorian school terms in accordance with the Victorian School Calendar.

4. Classes are not held on public holidays, school holidays, or long weekends unless otherwise advised.

 

5. Teaching dates and class schedules will be communicated prior to each term and are available at www.brightmindsmusic.com.au/ourclasses.

 

6. Bright Minds Music follows a sequential curriculum structure with designated intake periods throughout the year.

 

7. Students joining after the commencement of an intake may be required to complete private catch-up lessons at an additional cost.

FEES & PAYMENT

8. Tuition is charged per term and is payable in advance by the invoice due date.

 

9. Payment secures your child’s place in the studio and covers tuition, preparation, administration, curriculum licensing, professional development, insurance, and associated studio operating costs.

 

10. Students may not attend classes until invoices are paid.

11. Additional charges may apply for books, private catch-up lessons, performances, examinations, or optional studio events.

12. Tuition fees are reviewed periodically, and families will be notified in advance of any fee adjustments.

 

HOME PRACTICE & STUDENT RESPONSIBILITIES

13. Students are expected to arrive on time, bring the correct materials, and complete assigned home activities where applicable.

14. Parents/carers play an important role in supporting regular home practice and establishing consistent routines.

15. Bright Minds Music supports home learning through weekly activity sheets (where applicable), online Practice Buddy resources, backing tracks, and demonstration videos.

16. For piano students, access to a well-maintained instrument at home is strongly recommended. Weighted keys and a full-sized 88-key instrument are preferable where possible.

PARENT ATTENDANCE

17. Bright Minds Music operates using a “learning partner” model, where a parent/carer or nominated adult supports the child’s learning during lessons and at home.

18. Where a parent is unavailable, the role of learning partner may be fulfilled by a grandparent, carer, family member, friend’s parent, or another nominated adult.

19. Students attend with their learning partner, who sits beside the child for the duration of the lesson and actively supports their participation and learning.

20. Students attend with their learning partner, who is required to remain at the studio throughout the lesson.

21. Learning partners are strongly encouraged to observe lessons and remain engaged in the learning process wherever possible.

22. Learning partners may observe lessons, sit quietly in the waiting area, work quietly during class, or wait outside nearby.

SUPERVISION & SAFETY

23. All classes are taught in small groups with one teacher onsite.

24. Bright Minds Music is not structured as a drop-off facility. A responsible adult must remain at the studio and available throughout lessons.

 

25. As the teacher is actively instructing and supervising the group as a whole, learning partners may occasionally be required to assist with emotional regulation, bathroom needs, minor injuries, or other unforeseen situations involving their child.

26. If you are unexpectedly delayed, it is preferable to arrive late with your child rather than drop them off and return later.

27. Students who are unwell or displaying flu-like symptoms must not attend class.

28. Parents/carers are responsible for informing Bright Minds Music of any relevant medical, behavioural, developmental, or additional support needs which may impact their child’s participation or wellbeing.

 

29. Bright Minds Music cannot administer medical treatment.

 

30. Students must wash or sanitise hands before class where requested.

 

31. Parents/carers are responsible for any wilful damage caused by their child to studio property or equipment beyond normal wear and tear.

 

STUDIO EXPECTATIONS

32. To support a calm and focused learning environment:

  • students should use the bathroom before class

  • food is not permitted inside the teaching studio

  • water bottles with secure lids are permitted

  • adults are asked to keep conversation and phone use to a minimum during lessons

  • students arriving late should enter quietly

  • siblings are welcome with a quiet activity

  • one learning partner may supervise multiple children attending together

 

ACCESSING THE STUDIO

33. There is no onsite parking available at the studio.

 

34. Street parking is available in nearby side streets approximately 2–3 minutes’ walk from the studio.

 

35. For safety reasons, vehicles must not enter, drive through, or park onsite at any time unless specifically authorised.

 

36. During severe weather events including dangerous winds, hail, lightning, or other unsafe conditions, classes may be cancelled at the teacher’s discretion.

 

37. In the event of a weather-related cancellation, families will be offered either a make-up class, online alternative, or studio credit where appropriate.

ABSENCES & MAKE-UP CLASSES

 

38. Please notify Bright Minds Music as early as possible if your child will miss a class.

 

39. Where space permits, students may be offered a make-up class in another equivalent session during the same week. Make-up classes are not guaranteed.

 

40. Tuition fees reserve a student’s place in the class and are not dependent on attendance. Refunds or credits are not provided for occasional absences.

 

41. Exceptions may be considered in cases of prolonged illness or exceptional circumstances at the teacher’s discretion.

 

TEACHER CANCELLATIONS

 

42. If Bright Minds Music cancels a class for reasons other than severe weather or public health directions, families will receive either a make-up lesson, studio credit, or refund where appropriate.

 

43. Bright Minds Music reserves the right to cancel or combine classes where enrolment numbers are insufficient.

PERFORMANCES & EXAMS

44. Students may be offered opportunities to participate in informal class performances, concerts, studio events, or examinations throughout the year.

 

45. Participation in performances and examinations is optional unless otherwise specified.

 

PHOTOGRAPHS & VIDEO

46. Bright Minds Music may occasionally photograph or film classes for promotional or educational purposes.

 

47. By enrolling, you consent to the use of photographs/videos featuring your child unless you advise otherwise in writing.

 

48. Parents/carers are asked not to photograph or film other children without permission.

 

TERMINATING ENROLMENT

49. A minimum of six (6) weeks’ notice during term time is required to terminate enrolment and avoid being invoiced for the following term.

 

50. Refunds are not provided for unused classes once a term has commenced.

 

51. Bright Minds Music reserves the right to discontinue a student’s enrolment where ongoing issues significantly impact the learning environment, including repeated non-payment, excessive absences, persistent disruptive behaviour, or ongoing lack of engagement.

 

COMMUNICATION & PRIVACY

52. Open communication with families is important to us. Please feel welcome to discuss any concerns regarding your child’s progress or participation.

 

53. Personal information collected during enrolment is used solely for studio administration, communication, billing, and educational purposes.

 

54. Families are responsible for ensuring their contact details and relevant medical information remain current.

 

55. Bright Minds Music uses third-party platforms including My Music Staff and Stripe for administration and payment processing.

 

INTELLECTUAL PROPERTY

56. All Bright Minds Music curriculum materials, resources, recordings, and course content remain the intellectual property of Bright Minds Music and may not be reproduced, shared, or distributed without permission.
